Orienting new staff is becoming increasingly complex in a digital environment saturated with information. New team members must know where—and how—to locate, interpret, and engage with the most current internal guidance alongside relevant external resources. Orientation materials must be accessible to all staff, presented in clear, user-friendly formats that can be easily navigated and retrieved when required.
New staff should also have structured opportunities to ask questions, and seek clarification as they settle into their roles and responsibilities. Emerging AI tools offer additional opportunities to make induction processes more interactive, personalised, and responsive, helping ensure all staff feel confident, supported, and well-equipped for the future.
AI tools do not replace human relationships in induction; instead, it strengthens them by ensuring new staff feel informed, supported, and confident—while enabling school leaders to lead more strategically and sustainably.

A Gemini Notebook serves as a centralized, accumulative research workspace designed to ground artificial intelligence responses strictly in curated, school-owned documents and verified online resources. By maintaining ownership of the Notebook and management of the source materials, school leaders ensure that staff interact with a highly secure, reliable, and continuously updated knowledge base. While user chat interactions remain private to each individual, the underlying source documentation is preserved across the organization, featuring clear, transparent citations and direct links back to original files. Additionally, the integrated Studio functionality allows editors to save valuable outputs such as infographics as an extra guide. Importantly, when operated within a school domain, data protection is prioritized and information is not collected, providing a safe and effective tool to enhance administrative and educational workflows.
